An ecosystem of agents

It isn’t one program; it’s a team of intelligent agents

Nine specialised agents, each lifting part of the administrative and cognitive load of a practice, all working on one shared record.

Clinical assistant agent

Intake, first reading of the symptoms and automatic summarising of the visit.

Medical record agent

Structured SOAP notes and a patient history that stays up to date.

Scheduling and workflow agent

Smart appointment layout, walk-in queue management and doctor presence hours.

Prescription and therapy agent

Prescription formatting, medication suggestions and drug–drug and drug–disease interaction checks.

Accounting and insurance agent

Invoicing, the doctor’s share and insurance files ready to submit.

Analytics and insight agent

An operational dashboard, performance indicators and patient-flow analysis.

Patient communication agent

Automatic replies over SMS and WhatsApp, appointment reminders and post-visit follow-up.

Document intelligence agent

Data pulled out of lab sheets, paper prescriptions and PDFs with OCR.

Telephone receptionist agent — Proxia Voice

It answers the patient’s call, handles the usual questions and books appointments in one natural conversation.

Every AI output is labelled “AI suggestion” before it reaches the record, and is only committed once the doctor approves it.
Features

From reception to settlement, on one platform

Proxia replaces several separate systems: records, appointments, the visit, imaging, accounting and patient communication, all on shared data.

A clinical voice assistant, during the visit itself

The conversation between doctor and patient is transcribed live; by the end of the visit a structured SOAP summary — with ICD codes, medication orders and follow-ups — is waiting to be approved.

  • Speech transcribed live during the visit
  • SOAP summary and ICD-10 coding
  • Suggested tests, medication and differentials
  • Drug and disease interaction checks before prescribing

Electronic health record

Longitudinal patient history, vital signs, allergies, medication and lab results in one record, exportable as HL7 FHIR.

Scheduling, queue and presence hours

Booking, first free slot, the consulting-room queue and doctor presence hours — on the clinic’s own calendar and time zone.

Accounting and doctor contracts

Patient invoices, cashier shifts, the doctor’s share and the practice’s financial contract; revenue reports by doctor and by period.

Imaging and documents

DICOM images viewed in the browser, lab sheets uploaded, and data pulled automatically out of paper documents with OCR.

Patient app

Patients see their own history, prescriptions, lab results and appointments, and follow their care plan.

Clinical analysis

Two views of one record: this moment, and the patient’s path

The data in a record — symptoms, diagnoses, medication, lab results and past visits — accumulates scattered. Proxia turns it into two analyses: one for the decision being made right now, one for seeing the whole path the patient has taken.

  1. 1One shared time axisVisits, diagnoses and actions, and the spans of medication, all sit together on one timeline — the range opens from this month to the whole record in one click.
  2. 2You choose the measuresAny vital sign or lab result can be brought onto the same axis, so its change is seen next to the medication that started and the diagnosis that was recorded.
  3. 3Read-only — it writes nothingThis tab produces and records no data; it shows what is already in the record, arranged over time.
On the visit screen — at the doctor’s elbow

Condition analysis

What could this patient, right now, have?

As soon as the history is written into the “S” section of the SOAP note, the clinical assistant starts working: it puts today’s symptoms next to the vital signs, the underlying conditions, the medication in progress, the allergies, the lab results and whatever was recorded in previous visits, and hands the doctor a list of likely diagnoses — each with a confidence level and the evidence from this very record that produced it.

What it reads

  • The “S” history and today’s symptoms
  • Vital signs
  • Past conditions and diagnoses
  • Active medication
  • Allergies
  • Lab results
  • Previous visits

What it gives the doctor

  • A differential list, ordered by confidence, each with its reasoning
  • Follow-up questions: what has not been asked yet and could reorder the list
  • The effect of out-of-range vital signs on the likelihood of each diagnosis
  • Clinical notes and drug–drug and drug–disease warnings, before the prescription is finalised
  • Automatic re-assessment during the visit — at whatever interval the doctor wants, or off for this one visit

What the doctor gains: the possibilities that get lost under the time pressure of a visit are on the table before the record closes — without the doctor having to retype anything.

In the patient record — the “Analysis” tab

Analysis in the patient record

What path has this patient taken over time, and what did the treatments do?

Everything in the record lands on one shared time axis: measurements as trend lines, courses of medication as spans, and diagnoses, doctor’s orders and visits as events. Because they share an axis, reading down a column means “at that same moment” — so it is easy to see when a medication started and what the patient’s blood pressure, blood sugar or weight did afterwards.

What it reads

  • Vital signs
  • Lab results
  • Prescriptions and courses of medication
  • Diagnoses
  • Doctor’s orders
  • Visit history

What it gives the doctor

  • Each measure’s trend against its reference range, with out-of-range values marked
  • Each medication’s span on the same axis, to see treatment and change side by side
  • Record events — diagnoses, orders and visits — on that same timeline
  • Ready-made ranges: this month, 3, 6 and 12 months or the whole record; plus a custom range and zoom
  • A table view of the same data, for when the exact number is what is needed

What the doctor gains: instead of leafing through dozens of lab sheets and visit notes, the course of the illness reads in a few seconds. This screen only reads; nothing on it is written to the record. It is a magnifying glass, not a pen.

Neither of the two replaces the doctor’s judgement: AI output is always shown with a “suggestion” label, and until the doctor approves it, nothing is written to the patient’s record.

How it works

Four steps, from the patient arriving to the record closing

Proxia does not change the workflow a practice already has; it removes the repetitive parts of it.

  1. 1

    Patient intake

Register a patient by identifier — or by speaking; Proxia fills the form from dictation.

  2. 2

    Appointment and queue

Appointments are laid out around the doctor’s presence hours, and the consulting-room queue stays live.

  3. 3

    The visit, with the assistant

The doctor runs the visit, the assistant listens and drafts the note, the orders and the prescription as it goes.

  4. 4

    Approval and settlement

The doctor approves the output; the record closes, the invoice is issued and the doctor’s share is calculated.

Proxia Voice

The centre’s phone starts answering too

Proxia Voice, Proxia’s intelligent telephone receptionist: it answers the patient’s call, understands what they want, and can book and follow up — in exactly the hours when nobody is at the phone.

An answer at any hour

Night, holidays and the busy hour; no call goes unanswered.

Booking by phone

It reads out the free times and books through the centre’s own system.

A conversation, not a phone menu

The patient speaks; Proxia Voice understands what they mean.

Every call, a data point

The request and the outcome of each call are recorded and can be analysed.

Introduction

Proxia Voice; your intelligent receptionist

Instead of playing a recorded message, Proxia Voice holds a conversation with the patient.

  1. The patient speaks
  2. Proxia Voice understands what they mean
  3. It collects the information it needs
  4. It responds according to the scenario defined for the centre
From a simple question about opening hours to booking an appointment and following a process through: one natural conversation instead of a complicated phone menu.
Capabilities

What does Proxia Voice do?

The eight things expected of a telephone receptionist — without interruption and to one consistent standard.

Intelligent call answering

Incoming calls answered automatically, with the information patients need.

Intelligent booking

It takes the patient’s request, checks the bookable times and books through the centre’s own system.

Answering patients’ questions

The usual questions about doctors, services, opening hours, the address, how to attend and anything else defined for it.

Following up with patients

Outbound calls to collect information that is needed, or to pass on defined announcements.

Collecting and recording information

Taking the patient’s details in the course of a natural conversation and passing them to the relevant system.

Understanding the conversation

Proxia Voice does not merely recognise words; it understands the conversation and answers according to what is being said.

Call analytics

Calls and interactions can be analysed, so the centre’s manager has a true picture of incoming calls, requests and how well they were handled.

Connecting to other systems

Proxia Voice can connect to different systems to exchange information and validate data.

Proxia Voice converses in English, French and German.
